Are you someone with strong analytical skills, who enjoy working with various departments and a high degree of accuracy? We're seeking a Payroll Administrator with a dynamic personality and a drive to reach decision-makers and build relationships.
About the role:
Reporting to the Corporate Controller, the Payroll Administrator is responsible for processing Canadian payroll and supporting jhother payrolls in all locations including year-end processes, managing regulatory filings, and maintaining accurate financial records.

Located at our head office at 36, Vimy Street, Acton, Ontario, Canada
Responsibilities:
- Work within the payroll team to accurately process payroll for team members on a regular basis, adhering to Canadian payroll regulations.
- Process various bonus and commissions; monthly, semi-annual and annual programs
- Filing of all payroll related statutory filings (e.g. WCB/WSIB, EHT, CPP, OAS etc.)
- Calculate and verify team member hours, deductions, and benefits, ensuring compliance with tax laws
- Resolve payroll-related inquiries from team members, provide letters of employment and/or addressing any discrepancies or concerns with pay
- Process and reconcile payroll related journal entries including vacation accruals
- Validate team member changes, new hires, leaves, departures and administer team member benefits programs, including RRSP / DPSP and paid time off, in conjunction with Human Resources
- Perform regular self-audits to ensure accuracy; support internal off cycle and year end audits
- Assist team members with issues on claims with third party provider and collaborate with HR to ensure programs align with coverage agreements
- Submit ROE’s to service Canada, process T4s and W2s for Canada and the USA
- Full ownership of process and relationships with Canada, USA, Mexico and oversee Honduras payroll with partners
- Help to set up payroll for new US states and Canadian provinces as required
- Approve payroll submissions for third party invoicing
- Process payment of required benefit premiums across all locations
- Prepare and ensure timely submission of payroll tax filings and remittances to relevant government authorities (ex., HST, WSIB reporting, taxes, etc.) in conjunction with Financial Analyst
- Generate payroll reports, including semi-annual reporting with HRIS Specialist
- Stay up to date with Canadian, US, Mexico, and Honduras payroll regulations, tax laws, and accounting standards with HR
- Conduct government surveys, ex. Statistics Canada and audits, garnishments, etc.
- Prepare and balance period-end reports and reconcile issued payrolls to bank statements
- Back up finance functions, ex. AP; cross train to back up payroll during vacations / absences
- Take on ad-hoc/special projects as required
Qualifications:
- Minimum 3 years’ experience in a similar role, preferably with a mid-size manufacturing or distribution company
- Accredited payroll certification; knowledge of finance standard practices
- Experience working with both Canadian & US payroll required; experience with Mexico payroll an asset
- Post secondary degree / diploma in Accounting, Finance, Business or related program
- Strong knowledge of Canadian payroll laws and regulations; knowledge of US payrolls laws and regulations preferred
- Experience and familiarity with ERP Systems and Payroll systems (example NetSuite, ADP, etc.)
- Advanced to expert level of knowledge in Excel and report writing.
- Attention to detail, a high degree of accuracy, able to collaborate well with team members.
