Summary:
In the role of Parts and Service Administrator, you will be essential in supporting the logistics and administrative functions of our service department. Reporting to the Service Manager, you will utilize your mechanical knowledge and strong communication skills to manage filing systems and maintain accurate records. Proficiency in Microsoft Office is crucial as you will handle various administrative tasks. Your experience in logistics and customer service will ensure efficient operations and contribute to the overall success of our organization. This role is required for our Mississauga truck and trailer repair facility. The responsibilities include, but are not limited to the following:
- Answering telephone and emails as well as assisting customers, drivers and sales personnel
- Assist and ensure all repair orders are processed and closed in a timely manner
- Responsible for managing inventory levels
- Compare inventory reports & physical inventory on a quarterly basis
- Order parts and stock shelves accordingly
- Process invoices for AP
- Open and review work orders, follow up with lead hands as required to ensure accuracy
- Contact vendors for invoices required to close repair orders
- Enter vendor and sublet invoices into maintenance software
- Ensure all shop tools are calibrated at required intervals
- Organizing and filing work orders, invoices, etc
- Manage lubricants, anti freeze, washer fluids, etc and order as required.
- Communicate status of repairs with customers with updates.
- Assist with managing process of facility repairs
- Tracking and monitoring Owner Operator vehicle compliance
Position Requirements:
- Previous administrative experience
- Previous parts experience and mechanical knowledge an asset
- College or University preferred
- Highly proficient in written and verbal English
- Excellent communication and interpersonal skills
- Knowledge of Microsoft Office applications
- Organized
- Detail oriented
- Ability to multitask
