Job Summary
We are seeking a highly organized and detail-oriented Office Administrator / Receptionist to oversee the daily operations of our office. The ideal candidate will possess strong administrative skills and experience in supervising a team. This role requires excellent communication and organizational abilities.
- Maintain accurate records through effective filing systems and bookkeeping practices.
- Utilize QuickBooks for financial tracking, budgeting, and reporting purposes.
- Handle front desk responsibilities, including answering phone calls with professional phone etiquette.
- Oversee payroll processing, ensuring timely and accurate compensation for employees.
- Manage Files for vendors, insurances, contracts etc.
- Assist with human resources tasks such as recruitment, onboarding, and employee relations.
- Ensure employees are complying with safety courses required and with company policies and procedures while maintaining a positive office environment.
- Support administrative functions such as scheduling meetings, managing calendars, and preparing reports.
- Proven experience in an office administration role with supervisory responsibilities.
- Proficiency in QuickBooks and other accounting software is preferred.
- Strong clerical experience with a focus on organizational skills and attention to detail.
- Excellent communication skills, both written and verbal, to effectively interact with staff and external partners.
- Experience in human resources functions, including payroll management is a plus.
- Ability to manage multiple tasks efficiently while maintaining high standards of quality.
