 Position Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations, shop-floor coordination, document control, and marketing initiatives.

This role is ideal for a candidate who thrives in a fast-paced, structured industrial environment and can balance administrative efficiency with strong communication and organizational skills. SOP training will be provided during the first two weeks to help employee familiarize themselves with the work environment.

 KEY RESPONSIBILITIES

Administrative & Operational Support

  • Coordinate communication between office staff and shop-floor teams
  • Schedule meetings, prepare agendas, and record/distribute meeting minutes
  • Maintain organized filing systems (electronic and hard copy)

Document Control & Compliance

  • Maintain and update documentation in accordance with ISO 9001:2015 standards
  • Manage Quality Management System (QMS) records, logs, and work documentation
  • Ensure document accuracy, version control, and audit readiness

Customer & Supplier Coordination

  • Act as a liaison for scheduling and follow-ups with customers and suppliers
  • Coordinate internal and external meetings
  • Maintain professional and timely communication

Sales & Lead Generation Support

  • Conduct outbound calls to generate leads for the technical sales team
  • Maintain CRM systems and track customer interactions
  • Support preparation of reports and sales documentation

Marketing & Branding Support

  • Assist in managing company presence on social media platforms (LinkedIn, Instagram, Facebook, TikTok)
  • Coordinate with internal teams for branding and marketing initiatives
  • Support basic content creation aligned with company standards

Technical Records & Engineering Support

  • Maintain engineering drawings database and technical library
  • Ensure proper filing and accessibility of technical documentation

 QUALIFICATIONS & REQUIREMENTS

  • Minimum 3–4 years of administrative experience
  • Strong proficiency in Microsoft Office (Word, Excel)
  • Excellent organizational, communication, and time-management skills
  • Ability to work in a high-pressure, deadline-driven environment
  • High attention to detail and accuracy

Assets (Preferred):

  • Experience in a manufacturing, machining, or engineering environment
  • Exposure to ISO 9001 or quality systems
  • Background in marketing, social media, or client coordination
